Once you’ve completed the required onboarding steps, we’ll be ready to begin services—typically within 14 days or sooner, depending on your timeline.
We’ll set up a secure, HIPAA-compliant remote access system at your office, allowing our team to work directly within your practice management software and any third-party billing platforms.
For billing and credentialing services:
To ensure accuracy, our team will need brief -daily communication with a staff member. We may need to gather information or to provide your staff members with updates. This can be done via email or phone.
🔹 For Billing Services
We’ll take care of the processing, but we’ll need a designated team member from your office to scan and upload EOBs, checks, virtual credit cards, and bank deposit records—ideally daily, or as often as they are received. Timely uploads help ensure accurate and up-to-date posting.
🔹 For Credentialing Services
Credentialing requires specific documents and information. A member of your staff will be responsible for gathering the necessary items to complete insurance applications. Don’t worry—we’ll provide a clear checklist to make the process as simple and organized as possible.
We can work with any dental software of your choice; however, our systems are optimized for Open Dental and Vyne as the clearinghouse. Some of the commonly used platforms we support include EagleSoft, SoftDent, and Dentrix.
Only authorized members of our billing team who are directly involved in managing your account. Most work is completed within your dental software, but for tracking and administrative purposes, we may store certain non-clinical data (like logs, spreadsheets, or communications) in Google Workspace or Microsoft OneDrive.
All data is handled with strict access controls and security safeguards to protect patient privacy and maintain full HIPAA compliance.
The credentialing process varies by insurance carrier, with an average turnaround time of 30–90 days. While we're well into 2025, many payers are still experiencing system delays stemming from long-term impacts of the pandemic.
Rest assured, our team actively follows up on each application to ensure it’s processed as quickly and efficiently as possible.
After our initial consultation, we will send you a list of the major insurances and you can choose the networks you are interested in. We can also credential for an insurance that is not on our list, as long as the network is available in your area.
